At Shahi Catering, we understand that event plans can change. This Booking & Cancellation Policy explains how bookings, deposits, changes, cancellations and refunds are handled for our catering services.
1. Booking Confirmation
Submitting an enquiry or requesting a quote does not confirm a booking.
A booking is considered confirmed only when:
- Shahi Catering has accepted your booking and confirmed availability;
- The menu, event date, venue and estimated guest numbers have been agreed; and
- The required deposit or advance payment has been received.
Event dates are subject to availability until the booking is formally confirmed.
2. Deposit
A deposit may be required to secure your event date.
The required deposit amount will be stated in your quotation or booking confirmation. Your event date cannot be guaranteed until the required deposit has been received.
The deposit will normally be applied toward the total cost of your catering service.
3. Final Payment
The remaining balance must be paid by the due date stated in your quotation, invoice or booking confirmation.
Failure to make payment by the agreed due date may result in the booking being cancelled.
4. Final Guest Numbers
An estimated number of guests should be provided when requesting a quotation.
Final guest numbers must be confirmed by the deadline specified in your booking confirmation.
If guest numbers increase, additional charges may apply. Reductions made after the final confirmation deadline may not result in a reduction of the agreed catering price where food, staff or other resources have already been committed.
5. Changes to Your Booking
Please notify Shahi Catering as early as possible if you need to change:
- Event date or time
- Venue or event location
- Number of guests
- Menu selections
- Dietary requirements
- Catering package
- Additional services
Changes are subject to availability and may result in additional charges or a revised quotation.
6. Cancellation by the Customer
If you need to cancel your booking, please notify Shahi Catering in writing by email as soon as possible.
Any refund or cancellation charge will depend on how much notice is provided and whether Shahi Catering has already incurred costs or committed resources for your event.
Where ingredients, equipment, staff, transport or other services have already been purchased or committed specifically for your event, reasonable costs already incurred may be deducted from any refund where permitted by law.
Any specific cancellation conditions stated in your quotation or booking confirmation will also apply.
7. Change of Event Date
Requests to postpone or reschedule an event will be considered subject to availability.
Where possible, payments already made may be transferred to a new agreed event date. Additional charges may apply if pricing, guest numbers, menu requirements, venue location or other circumstances change.
A requested new date is not confirmed until approved by Shahi Catering.
8. Cancellation by Shahi Catering
In the unlikely event that Shahi Catering is unable to provide the confirmed catering service, we will contact you as soon as reasonably possible.
Depending on the circumstances, we may offer an alternative arrangement, reschedule the service or provide an appropriate refund.
This does not limit any rights or remedies available to you under applicable Australian consumer law.
9. Circumstances Beyond Our Control
Events may occasionally be affected by circumstances beyond the reasonable control of either party, including severe weather, natural disasters, government restrictions, venue closures, emergencies, major transport disruption or other unforeseen circumstances.
Where this occurs, Shahi Catering will work with the customer in good faith to determine a reasonable solution, which may include rescheduling the event.
10. Dietary Requirements and Allergies
Customers must advise Shahi Catering of known allergies, intolerances and dietary requirements before the event and within the timeframe specified for finalising the booking.
While reasonable care is taken in food preparation, our kitchen may handle common allergens and we cannot guarantee a completely allergen-free environment.
11. Australian Consumer Law
Nothing in this policy is intended to exclude, restrict or modify any rights or consumer guarantees that cannot legally be excluded under the Australian Consumer Law.
Where a customer is legally entitled to a refund or other remedy, those statutory rights will apply regardless of other provisions of this policy.
